Hotel accommodation can be reserved at reduced rates through the intermediary of ESASO. Only bookings made through ESASO in advance will secure these rates. All rates quoted on the hotel booking form are per room and per night. Room rates also include breakfast, service, taxes and private facilities, unless otherwise stated. Hotel category should be indicated on the hotel booking form. Please also indicate which other category should we book in case your first choice is fully booked.

As single rooms are limited, ESASO will have to assign double rooms for single occupancy if necessary, the price in this case will be slightly lower than the double rooms rate and will be indicated in the room details confirmation. You are kindly requested to return the hotel booking form giving details on required accommodation together with the appropriate down payment (see chart). In order to avoid disappointment, early bookings are recommended. No telephone reservation will be accepted.

Accommodation cannot be guaranteed if request is received after 30 September 2010 although ESASO will make every effort to meet participants requirements. ESASO will operate on a ‘first come first served’ basis with incoming requests. Reservations will only be processed if down payment is received.

Confirmation of reservation
Upon receipt of the payment, ESASO will send you the details of your reservation including hotel name and full address.

Please note that in order to confirm the hotel reservation the total prepayment of the stay is requested within 30 September 2010. The balance payment can be effectuated by bank draft. In case the due balance is not received by the deadline, the reservation will be cancelled, the down payment will be invoiced as penalty. Reservations will not be confirmed until full payment is received.






All payments regarding registration fees and hotel accommodation should be forwarded:

  A copy of the bank transaction has to be sent together with the registration and accommodation form to ESASO. The participant’s full name and payment purpose must be clearly stated in the transfer order.

If not stated differently on the confirmation slip, these are the official cancellation deadlines.

• From the day of the confirmation to 23 July 2010, the client can release 30% of the rooms confirmed in each hotel booked, without any charge. For any additional room cancelled, ESASO will charge 30% of the cancelled value as penalty.


• From 24 July 2010 to 3 September 2010 ESASO will charge 50% of the cancelled value as penalty.


• From 4 September 2010 to October 3, 2010 ESASO will charge 70% of the cancelled value as penalty.


• From 4 October 2010, ESASO will charge 100% as penalty for any cancellation.

Booking fees will not be refunded

Refunds will be processed after the congress.
